Overview

Hours: 15 Hours per Week, (Tuesday to Friday with time flexibility)

Reports to:  Senior Pastor or designate

Altadore Baptist Church is a small, city-center community church affiliated with the Canadian Association of Baptist Freedoms (CABF). As an affirming congregation, we welcome all people, regardless of race, culture, sexuality, or faith.  We are seeking a part-time Office Administrator who is committed to Christian values and principles. This individual will oversee administrative needs within the church environment, provide direct support to staff and leadership, and foster strong communication and organization for the church’s ministries.

Qualifications and Skills:

·       Proficient in typing and computer skills, with experience in Microsoft Outlook, Word, Excel, and PowerPoint

·       Detail-oriented, ensuring high-quality control in administrative tasks

·       Strong interpersonal, organizational, and time management abilities

·       Adaptable, able to multitask and embrace change as needed

·       Quick learner with a proactive, self-motivated work ethic

·       Sensitive to the needs of a diverse, member-led organization

·       Basic bookkeeping knowledge and financial understanding

·       Experience with PowerChurch and EasyWorship software is an asset

·       Maintains confidentiality, professionalism, and inherent discretion in all responsibilities

Responsibilities:

·       Provide administrative and reception support for church staff and leadership

·       Perform light bookkeeping duties

·       Maintain the church website and social media presence

·       Answer phone calls, relay messages, and address concerns promptly

·       Process mail and email correspondence

·       Prepare newsletters, presentations, and email communications as needed

·       Oversee the master calendar, office supplies, and equipment maintenance

·       Manage facility bookings, contracts, and support facility requirements

·       Prepare agendas and distribute minutes for congregational meetings

·       Coordinate, prepare, and distribute annual documents (e.g., church directory, annual report, Lent devotional)

·       Maintain organized filing systems (both physical and digital)

·       Ensure mailboxes and bulletin boards are updated and well-maintained

·       Keep the sanctuary and foyers in order for worship services

·       Uphold office administration procedures and documentation

·       Fulfill Church Clerk duties, including membership and affiliate reporting

·       Serve as a staff liaison to ministries and the community, as appointed

·       Perform any additional reasonable tasks requested by the Senior Pastor or designate
